A well-maintained system keeps your team efficient and your seafood sustainability data secure. Just as you might tidy up your workspace, it’s a good time to review and update your Seafood Metrics account users to ensure that access remains current and relevant.

Here are some simple steps to help you organize your account and keep it secure:

1. Review user access and roles

As teams evolve, roles change, and employees come and go, it’s important to ensure that everyone has the appropriate level of access. Spring is the perfect time to review who has access to what (although it’s always a good idea to check more frequently). Are there users who no longer need access? Do you have new team members who need to be added?

Any registered user can add new users to their company’s Seafood Metrics account. However, only users with the “Supplier Admin” role can disable users. To review user access, visit your account’s “Settings” -> “Users” page (found under the Profile icon in the top-right corner).

If your company needs to transfer the Admin role to another user, please contact Metrics.Support@sustainablefish.org for assistance. There must always be at least one “Admin” for each registered company in Seafood Metrics.

2. Remove inactive users

Inactive users can accumulate over time – whether it’s former employees or individuals who have transitioned to other roles. Removing these users not only improves security but ensures that only the necessary team members are interacting with sensitive data. Streamlining your user list will help keep your account organized and ensure clarity for active users.

3. Update user information and enable auto-notifications

Is everyone’s contact information up to date? Take a moment to review user details such as email addresses, phone numbers, and job titles to ensure smooth communication. Additionally, confirm that the appropriate users are set up to receive automatic notifications from Seafood Metrics. Ensuring key contacts receive timely updates helps your team stay informed and responsive.

4. Enhance data security

Keeping your account organized isn’t just about efficiency—it’s also about protecting your data. As more users interact with sensitive information, it’s critical to maintain strong security measures. From the “Settings” page, users can update passwords and enable two-factor authentication to enhance security and reduce potential risks.

5. Communicate updates to your team

Once you’ve completed your spring cleaning, make sure to inform your team of any changes. Whether you’ve updated roles or added new users,  clear communication helps prevent confusion and ensures a smooth workflow.

By taking a little time to clean up, organize, and ensure your users are receiving notifications, you’re not only improving security and efficiency – you’re setting your team up for continued success. Regularly reviewing and updating your user list ensures your team stays focused on what matters most: sustainable seafood sourcing.

Happy Organizing! 🐟
